Navigating your Coles for Business web app - Admin Users
1. Navigate to https://businesscredit.coles.com.au
2. Enter your registered email address into the Enter your email address field, then select Log in.
Tip: Once Log in is selected, you will receive a one-time password to your email address for verification purposes.
3. Click the Verification code field and enter your Verification Code and select Verify.
4. Once you login, you'll be taken to your Dashboard. Here you can view your available credit and the latest transactions on your account.
5. To view transactions made on your account, click Transactions from the navigation bar on the left-hand side. Here you can see credit used, credit available and all transactions made on your account.
6. Transactions can be filtered by date, amount, user, or receipt status.
7. If you select Date, a calendar view will appear for you to select the timeframe you would like to filter by.
8. If you select Amount, a field will appear for you to select the minimum and/or maximum dollar value you would like to filter by.
9. If you select Users, a dropdown list will appear for you to filter the transaction list by the user. You can select more than one user to filter by.
10. If you select Receipt Status, a dropdown list will appear for you to filter the transaction list based on whether or not a receipt has been attached to the transaction.
11. To view your own transactions, select My Transactions.
12. All of your transactions will appear here.
13. To view the details of a transaction, click on the arrow next to the transaction.
14. Here you can view the transaction details, as well as any uploaded receipts.
15. To view the cards on your account, select Cards from the navigation bar on the left-hand side. Here you can see all of the cards linked to this account.
16. To select a specific card, you will first need to select a user. From there, you can select a specific card in the pop-out window on the right side of the screen.
17. Once you have selected a card, you will see a list of control options available within the pop-out window on the right of your screen.
18. To lock a card, click on Lock card to toggle it into the on position.
19. When the Lock card toggle is red, the card is now locked and cannot be used. There is a lock icon on the card image, and the card is now located within the Locked section of the Cards page. You can unlock a card at any point by selecting the Lock card toggle.
20. To change the limit of a card, select Change card limit.
21. Here you can enter the new limit you'd like to set for this card and select Set new limit when you're done. This will instantly change the limit available on the selected card.
22. Selecting Report as lost or stolen will bring up the contact details for Coles Customer Support. If you need to report a card as lost or stolen, please contact Coles Customer Support either via call or email.
23. Selecting View transactions will navigate you to the Transactions tab and show you all transactions completed using this card. Selecting View linked user will navigate you to the Users tab and show you the user profile of the user who holds this card.
24. To view users linked to your account, select Users from the navigation bar.
25. You can view a user's details by selecting their name. A pop-out window will appear with the user's name, email address, phone number & role.
26. You can remove a user from your account by selecting the Remove user button. A confirmation window will appear where you can confirm the removal of the user from the account or cancel the request.
27. Navigating to Invites will display any users that have been invited to join the account but have not yet accepted.
28. Select Insights from the navigation bar to access key insights into your spending on your account. Data is broken out into spending per user, top transactions, monthly spending and more.
29. Select Statements from the navigation bar to access your monthly statements for your account. Here you can view and download your statements in PDF and CSV formats.
30. Select Billing from the navigation bar to access information related to the monthly billing of your account.
31. To manage your account settings, click Settings in the bottom left corner of the menu bar. Here you will be able to view your details and change your passcode.
32. To update your app login passcode, select the Change passcode button. You will be prompted to enter your current passcode, then set your new passcode and save it by selecting the Confirm button.
33. If you are an admin user on multiple accounts, you can toggle between accounts by selecting account name in the navigation bar. A dropdown selector will appear where you can access any of your other accounts.
